
Rackheath Community Council Vacancy

Rackheath Community Council has a vacancy for a Facilities Co-Ordinator to look after Council owned facilities. We are looking for someone who has experience of working within an administrative setting, confidence in dealing with a variety of queries by phone, email and in person, and an understanding of Health & Safety requirements relating to community facilities.
Location: Based in the Community Office, The Pavilion, Stracey Sports Park, Green Lane West, Rackheath, NR13 6LT.
Starting salary: £10.75 per hour to start. Reviewed after 6 month’s and annually thereafter
Hours: Initially between 7-10 hours per week (to be agreed with the successful candidate), over 2 days, to be arranged. Rackheath is a rapidly growing Parish and there will be scope to increase the hours, as needed. Occasional evening work may be required.
Responsible to: Community Clerk
Employer: Rackheath Community Council
Purpose of job: To support the administrative functions of the Community Council in relation to the management of all facilities including current and future assets within the Councils portfolio.
Administration
Responsibility for taking bookings, issue/receive booking forms and deposits- check compliance with Terms and Conditions e.g. any necessary licenses, insurance etc.
Responsibility for invoicing all hirers on a monthly basis and chase up payments where necessary.
Acting as a point of contact for football bookings and prepare and issue invoices and contracts. Attend meetings between clubs and Council 3x a season and produce an accurate set of meeting Minutes.
Responsibility for managing and updating the bookings calendar on the website.
Being a point of contact for receipt of booking fees and deposits.
Responsibility for managing cash payments received for use of the facilities.
Providing a monthly report to the Clerk on the bookings of the Parish Council’s premises and land.
Providing advice and guidance to hirers on the use of resources available at the facilities.
Facility Checks and Maintenance
Responsibility for playground inspections to be undertaken weekly and paperwork completed. Any immediate remedial work completed on site, with more complex tasks reported back to the Clerk and appropriate quotes obtained for their completion.
Responsibility for carrying out premises and equipment checks, once a week to ensure it is safe and secure and to help with identifying maintenance issues, which should be reported back to the Clerk.
Pavilion maintenance:
Obtaining quotes for work to be carried out, for the Clerk to present to Council.
Updating the Clerk on issues and work carried out.
Responsibility for carrying out fire testing weekly as per the fire safety policy.
Acting as a point of contact for cleaning contractors.
Monitoring use of facilities by regular hirers ensuring hire conditions are met.
Maintaining and checking the defibrillators situated across the village.
Checking CCTV recordings and live feed in line with the CCTV Policy.
Promotion and Marketing
Building excellent relationships with regular and casual hirers of facilities by being reliable and professional and providing high quality customer services support.
Advertising new courses, events and activities to the community.
Managing Facebook, Instagram and Twitter accounts for PR and marketing purposes.
Training
Attend training sessions as required and agreed by the Clerk to ensure knowledge is updated.
Health & Safety
Responsibility for ensuring all health and safety records associated with Council assets are up to date and liaising with the Clerk where necessary.
Assisting the Clerk in ensuring that health & safety requirements are fully complied with for the wellbeing and safety of all who visit or work in the facilities.
Joining the Clerk on a Health and Safety inspection twice a year to assist the Clerk in updating the relevant policies.
Any other Duties
Undertake any other duties which may from time to time be allocated by the Council which may reasonably be expected to be carried out.
